The problem
Why a portfolio is hard to manage job by job
Managing exterior cleaning across a property portfolio can quickly become complicated. Different locations need attention at different times: some sites have public-facing entrances that need to remain consistently presentable, while others contain large car parks, warehouse elevations, loading areas or extensive gutter systems.
If every requirement is handled as a separate reactive job, facilities and property teams spend significant time arranging inspections, quotations and cleaning visits, property by property, with little visibility over the condition of the portfolio as a whole.
The same pattern applies to property management companies looking after buildings for different owners, facilities teams running operational properties, commercial landlords with several units or estates, warehouse and logistics operators, retail groups, hotel and hospitality groups, education estates with several schools or colleges, and office portfolios.
- Fragmented maintenance
- One site is cleaned because someone reports a problem, another is overlooked until contamination becomes obvious, and a third receives unnecessary work simply because it has always been scheduled at that time of year.
- Administration that multiplies
- Each job means identifying the problem, finding the correct service, arranging a site visit, requesting a quotation, obtaining approval, coordinating access and scheduling the work. With several sites, those tasks multiply.
- Uneven standards
- Where sites have been cleaned by different contractors, at different frequencies and to different expectations, they present differently. That matters where the exterior of each property contributes to a wider brand or estate standard.
- Shared areas
- On a commercial estate, car parks, pedestrian routes, communal entrances, courtyards, access roads, service areas and shared hardstanding sit between the buildings. Where one management company, landlord or facilities team is responsible for the appearance of the wider estate, those areas need planning with the buildings rather than as unrelated projects.
What we do
One contact, one standard, every site specified
We take responsibility for the specified work at every included site, from survey to handover. Each property is surveyed and specified individually and follows the six steps below.

| Method | The same principles at every site: a specification of works, defined responsibilities, planned scheduling, a method chosen for each surface, a realistic stated outcome and consistent communication through one contact. The properties do not need to look identical, but the way their exterior maintenance is managed becomes consistent. Priority goes where exterior condition has the greatest operational or presentation impact: public entrances, retail frontages, hotel approaches, office frontages, dealership forecourts, main pedestrian areas, high-traffic car parks and prominent building elevations. Areas that mainly serve staff, storage or operations stay on an appropriate cycle without unnecessary attention. Each site's works are planned around its deliveries, vehicle movements, term dates and occupancy, with out-of-hours working available. High-level areas are reached from our dedicated tracked spider lift, operated by IPAF-accredited Chiltern Surface Co technicians. |

| Before work starts | We request each site's asbestos register and drainage drawings before roof or gutter work. Access, working zones, site rules and programme are defined for each site before it mobilises. |
| Recorded | Each site receives its own completion report: works completed against its specification, before-and-after photography, defects identified during the works, items outside the specification that need your attention, and sign-off. The site reports are brought together in consolidated reporting, so the condition of every included property can be reviewed in one place. Where the asset warrants it, each report ends with a PPM proposal and a suggested review cycle for that site. The proposals are advisory and evidence-led: a site that needed frequent attention may stabilise after treatment while another develops contamination faster, and the programme follows the evidence rather than repeating the same work indefinitely. |
| Exclusions | Only the properties, areas and services listed in each site's specification are included. Repairs, gutter renewal and drainage works are outside the specification at every site; defects found during the works go into the defect schedule so the property team can bring in the right specialist. |

Safety and site control
Planned before we arrive
- Roofs
- We identify the roof covering before any work is proposed and request the asbestos register. Asbestos-cement and fragile roofs are never pressure-washed or walked on.
- Wash water
- We plan wash-water control and drain protection for every site.
- Schools and care settings
- We work in school holidays and INSET days, or behind exclusion zones away from pupils and residents.
- Weather
- Our normal lift wind limit is 20 mph. Weather rescheduling is free of charge.

What do you need from us to set up a multi-site programme?
The properties to include and where they are, the external areas and services each one needs, which sites are the priority, how each property operates and when access is practical. For roof or gutter work we also ask for each site's asbestos register and drainage drawings. We then survey each property.
Can different sites have different services and frequencies?
Yes. One property may need cladding and gutter maintenance while another needs car park, walkway or façade cleaning. Frequency varies with the property, contamination, environment, traffic and how the site operates, and each site's PPM proposal suggests its own review cycle.
Can you cover the shared areas of a commercial estate?
Yes. The specification of works can cover individual buildings and the shared external areas between them, such as car parks, pedestrian routes and access roads.
What reporting do we receive across the portfolio?
A completion report for each site, brought together in consolidated reporting across the portfolio, with each site's PPM proposal where the asset warrants it.
Do we have to commit every site to a fixed annual schedule?
No. Each site's PPM proposal is advisory. Where a yearly cycle suits a site, its proposal says so; where it does not, the site is reviewed on the cycle its condition justifies. Nothing is scheduled until you accept the proposal.
Can we add another property later?
Yes. A new property is surveyed before it joins the programme and receives its own specification of works. The arrangement is reviewed whenever properties are added or sold, or their requirements change, so it develops alongside the portfolio.
